Sales pipeline software for solo founders: track deals and follow-ups without a setup project

Published 29 July 2026 · Pipento

You do not need to configure a CRM. You need four fields and one habit.

Contact, value, next step, and the date that next step happens. That is a working pipeline. You can build it in half an hour in almost any tool, and it will do more for your revenue than a fully configured CRM you abandon in week three.

The reason most solo founders lose deals is not that their system lacks custom fields. It is that nobody wrote down what happens next.

Why CRM setup eats days

Enterprise sales pipeline software is built for a company with a sales operations team. Before it works, someone has to define territories, lead sources, custom objects, permission levels, deal types, and a reporting structure. That is a project. It is meant to be a project. Someone is paid to do it.

You are not that someone. You are selling, delivering, invoicing, and hiring, and the CRM is competing for attention with a client who wants a call back.

So the setup stalls half finished, the data goes stale, and you go back to your inbox and your memory. That is the real cost. Not the subscription. The month you spent pretending you had a system.

Skip the configuration. Start with the smallest thing that works.

The four fields that matter

Every deal in your pipeline needs these and nothing else on day one.

Who it is. Name and company. That is the whole field.

What it is worth. Your best honest estimate. Round numbers are fine. A wrong number you can correct beats a blank you avoid.

What happens next. Not a status. An action. “Send proposal” is a next step. “In discussion” is not.

When it happens. A date. This is the field that does the work. A deal without a date is not in your pipeline, it is in your imagination.

If you add nothing else for three months you will still be ahead of most people selling at your size.

Five stages, not fifteen

Sales pipeline stages get overbuilt fast. For a solo founder selling a service, five is enough.

Lead. Qualified. Proposal. Negotiation. Closed.

Some businesses need a sixth for a discovery call or a trial. Fine. The test is whether a stage changes what you do next. If two stages produce the same action from you, they are one stage wearing two hats, and every extra stage is another decision you have to make each time you touch a deal.

Fewer stages also make your pipeline honest. When everything sits in a vague middle stage, you cannot tell a live deal from a polite one.

The habit that makes it work

Software does not track deals. You do. The software just makes it fast.

Once a day, look at two lists. Deals with an overdue next step. Deals with no next step at all. Work the first, fix the second. It takes about two minutes once the pipeline is clean.

That single routine is covered in more detail in our guide to spotting slipping deals, and it is the part most tool comparisons skip entirely.

Once a week, look at your total, what moved, and what did not. That is your forecast. It does not need to be more sophisticated than that at 20 to 50 deals.

What about free sales pipeline software

Worth answering honestly, because free is a real option and sometimes the right one.

Spreadsheets. Free, instant, and fine below about ten deals. They break past that because a spreadsheet cannot chase you. Nothing turns red when a deal goes quiet. The work of remembering stays with you, which is the exact work you were trying to hand over.

Free tiers of large CRMs. Genuinely useful, and genuinely a trap. The free tier is the on-ramp to a paid plan priced for a sales team, and the limits tend to appear at the point you have already put six months of data in. Check what the next tier costs before you commit, not after.

Open source pipeline management software. Real options exist and they are capable. They also need hosting, updates, and someone to fix it when it stops working. If that someone is you, the cost is not zero. It is your evenings.

None of these are wrong. They are just trades. Free tools cost time, paid tools cost money, and as a founder your time is the more expensive of the two.

What simple sales pipeline software should do

If you are paying for something, these are the things worth paying for.

Setup in minutes. Import a list, set your stages, start selling. If it needs a call with an onboarding specialist before you can add a deal, it is not built for you.

A next step on every deal. The tool should make it awkward to leave a deal without a date attached. That one constraint does more for close rates than any dashboard.

Follow-ups brought to you. You should be told who to chase. You should not have to go and find out.

A clear view of the month. Pipeline value, what has moved, what has stalled. Enough to know if you are short while there is still time to fix it.

Flat pricing. Per user pricing means adding your first salesperson increases your software bill. That is a bad incentive for a business trying to grow.

Nothing you will not use. Territory management, lead scoring, and marketing automation are not free just because they came bundled. You pay for them in screen space and confusion every day you log in.

A word on automation

Sales pipeline automation is worth having in exactly two places at your size.

Reminding you about follow-ups, and saving you from retyping the same email for the fortieth time.

Everything beyond that, the sequences, the scoring models, the branching workflows, assumes volume you do not have. With 20 to 50 deals you are not running a machine. You are having conversations. Automating a conversation you could have had personally is how service businesses end up sounding like everyone else.

How Pipento handles this

Pipento was built by a founder who tried the big tools, found they were built for someone else, and built his own. It worked internally first. Then it became a product.

Setup takes minutes. The Tracker holds your deals and their next steps. Pulse shows what needs action today. Smart follow-ups tell you who to chase before a deal goes quiet. Email templates stop you writing the same message twice. Pricing is flat, with no per user fees, so bringing someone in later does not cost you more.

It is not trying to be Salesforce. It is built for people who would rather be selling than configuring software. You can see the full pricing here.

Common questions

What is the fastest way to set up a sales pipeline?

List your open deals, give each one a value, a next step, and a date, and sort them into five stages. That takes about thirty minutes and gives you a working pipeline immediately. Add detail later, once you know what you actually look at.

Do solo founders need a CRM?

Usually not a full CRM. You need a clear view of your open deals and your follow-ups. A CRM is a customer database, which is a bigger and slower thing to maintain than most one person sales operations need.

How many sales pipeline stages should I have?

Five is a good default for a service business. Add a stage only when it changes what you do next.

Is free sales pipeline software good enough?

Below about ten deals, yes. Past that, free tools tend to cost you in missed follow-ups rather than in money, which is the more expensive kind of cost.

What should I look for in sales pipeline software reviews?

Ignore feature counts and look for setup time, pricing structure, and whether reviewers are running a business your size. A glowing review from a fifty person sales team tells you very little about your Tuesday.
